Please see below for some important Policies and Procedures that Clients should be aware of prior to moving forward with booking through Vet Tech Pet Services
After collecting initial information and confirming availability, an Initial Consultation can be scheduled. This meeting is a vital introduction, allowing clients to meet our staff, review services, and discuss pet care details. The pet caregiver(s) will introduce themselves, spend time with the pet(s), and address any questions. We also collect and test two house keys. Note that services begin after this meeting.
A $25 (+ HST) fee applies for administrative costs and caregiver's time.
Please note that Vet Tech Pet Services sitters collaborate as a team. We are not able to guarantee the same sitter each time. We aim to assign 1-2 primary sitters and a backup sitter in most cases. This is to ensure that your pets are cared for according to the prearranged visit schedule and that our staff are not working extended hours.
Please understand that our staff are not super heros! They get sick, have emergencies (sometimes more than one at once!), need days off and go on vacation. There may be times where we need to send a replacement sitter or change timing without notice. Our sitters are all covered under our company bonding & insurance and are informed on care for your beloved pets

All booking requests must be submitted through our online system, Time to Pet. We are not able to accept bookings via phone, text, or email. Bookings are first come, first served. We are unable to "pencil you in" or "hold a spot" for any request. Deposits are required to secure each booking
Regular Requests: 50% non-refundable deposit is due the day services are approved in Time to Pet in order to secure your booking. The remaining 50% is due 48 hours before services begin for most services.
Nail Trimming & Medical Services: 100% payment is due at time of service. Please note that we reserve the right to still charge for the Visit if service is unable to be performed due to aggressive or difficult pets
Last-Minute Requests:Pet Sitting or Dog Walking, less than a 48-hour notice: 100% non-refundable deposit is due the day services are approved in Time to Pet.
Cancellations must be submitted through Time to Pet.
No credits or refunds are issued once services commence
Dog Walking, Nails, Standalone Medication Visits- 24 hour notice
Vacation Visits- 48 hour notice
Overnights & Non Major Holidays- 7 days notice
More than a 48-hour cancellation notice: No refund. A credit for any payment already made will be applied to your account to be used within 1 year.
Less than a 48-hour cancellation notice: No refund. No credit.
No credits or refunds are offered for early returns and/or late departures. We understand that life happens and sometimes last-minute cancellations occur, however please keep in mind that we have likely turned away other clients to make room for your request. Therefore, you will be required to pay the full amount of your booking regardless of the time you depart or return home.

We do not guarantee specific appointment times. We operate within time blocks only*. We aim to visit your pets in your requested time block as much as possible, however please note that timing may vary if there are factors beyond our control.
*We accept smaller time windows on a case by case basis, pending availability. Additional fees apply
Pets are visited minimum once per calendar day (cats & small animas)
Pets are visited minimum 2 x per calendar- ideally 3 x per calendar day (dogs)
Friends, family and neighbours can be great and we understand that you may want someone extra to lend a hand by coming by in your absence. However, we do not accept job sharing for several reasons:
1) Consistent, reliable standard of care. Friends and family, may forget to visit when agreed upon, they may not properly follow instructions regarding medication administration, or they may simply be uncommunicatrive. For most, Pet Care is not likely their job or career. It is for us!
2) Medications and Special Needs Pets- Having a friend/neighbour/family member who is not on our staff providing medication is a liability and potential health concern. We cannot share medication duties with someone other than our staff. Changes in medication schedules must be approved in advance and require a letter of authorization from your Veterinarian
3) For liability purposes, if other people are allowed to enter your home while we are scheduled to pet sit for you, we cannot and will not be held liable for anything that may happen to your pets or home. A signed liability waiver will be required
Hiring us as the sole provider of pet care is in the best interest for you and your pets.
Vet Tech Pet Services requires having two (2) keys or two methods of entry (1 as a backup). Please have these ready for our meeting
We have three (3) options for key handling:
1) Keys are kept on file at a secure location
2) Key pick up or drop off- $20 (+ HST). This is to cover a portion of the sitters time and mileage.
3) Lockbox- These can be purchased at most hardware stores.
If a client requests their keys be returned by mail, key return fee + Canada Post fees will be billed to the client.
We do not have a key pick up/drop off location.
Vet Tech Pet Services staff are experienced with administration of a variety of medications, including eye/ear/oral/topical medications as well as Insulin and SQ Fluids.
Changes in medication schedules must be approved in advance and require a letter of authorization from your Veterinarian
Additional fees apply for difficult or aggressive pets. Please note however that we cannot guarantee pet behaviour and while we strive our best, we reserve the right to not medicate a pet if there is a safety risk to the pet and/or the sitter. We will contact you (or your designated emergency contact) and may recommend medical boarding at your Vet
We'll do our best to keep the service going in bad weather, but we might need to adjust the schedule as needed. It's really important for everyone to have a local emergency contact, like a neighbour, just in case we can't provide pet care due to an emergency.
If your pet gets sick, we'll try our hardest to get in touch with you or your emergency contact. If that's not possible, we'll use our best judgment about a vet visit.
Please give your vet a heads up that we'll be looking after your pets, leave a payment method on file, and remember that clients are responsible for any medical expenses.
All pets- whether indoor only, or indoor/outdoor, will need to remain inside for the duration of our pet sitting visits (exception being secure catios).
We cannot be held responsible for any illness or injury sustained by your cat while roaming outside. For their safety, they will not intentionally be allowed outside while under our care.
While we work to accommodate our clients to the best of our ability, please keep in mind that we are not open 24 hours. We aim to respond to messages and inquiries Monday to Friday.
Due to high demand, please allow up to 72 hours for a response. Additional delays may occur at peak times such as Holidays
Please note that we do not have regular weekend or Holiday office hours
If you must contact us for an emergency while we are scheduled to pet sit for you, please send a secured messaged through Time to Pet up until 8:30pm.
If your emergency is after 8:30 pm, please call your designated emergency contact for assistance.
