New Client Consultation

After collecting initial information and confirming availability, new clients are scheduled for an Initial Consultation.

This meeting is an important introduction that allows us to review routines, home access, and care expectations while ensuring your pet feels comfortable with their caregiver.

During the consultation, we will:
• Meet you and your pet(s)
• Review visit routines and home details
• Answer questions about services and scheduling
• Collect and test two house keys or review lockbox access

Services begin once this meeting has taken place.

A consultation fee of $25 (+ HST) applies to support administrative time and caregiver scheduling.

Key Pick Up/Drop Off

Vet Tech Pet Services requires two (2) working keys or two methods of entry whenever possible to support scheduling flexibility and emergency preparedness.

We understand that this may not always be feasible in apartments or secured buildings. In these cases, alternative access arrangements can be discussed during your consultation, such as:

• Lockbox access
• Concierge or building entry procedures
• Temporary key exchange planning
• Caregiver coordination

Clients may choose from the following key handling options:

1️⃣ Keys Kept on File

Keys may be securely stored on file for future visits.

2️⃣ Key Pick-Up or Return

Key pick-up or drop-off can be arranged for a fee of $25 (+ HST) to help cover caregiver time and travel.

If keys are requested to be returned by mail, a key return fee plus Canada Post postage will be billed.

3️⃣ Lockbox Access

Clients may provide a lockbox, which can be purchased at most hardware stores. Lockboxes offer convenient access while reducing the need for additional key visits.

Vet Tech Pet Services does not offer a central key drop-off or pick up location. All key exchanges are arranged by appointment based on caregiver availability.

Why are daily visits required?

We require at least one visit per calendar day for cats to ensure their safety, well-being, and comfort while you’re away.

Visits are scheduled within agreed service windows rather than strict 24-hour intervals. This means that while we aim for consistency, arrival times may vary slightly from day to day due to routing, weather, emergencies, or pets requiring additional care.

Even independent cats can encounter unexpected situations such as illness, injury, being shut in rooms, running out of food or water, litter concerns, or household hazards.

Daily visits allow us to monitor your cat’s environment, routine, and overall health while providing reassurance and prompt response if something changes.

If your cat has specific feeding or medical timing needs, please let us know so we can plan appropriately

do you let cats outside during visits?

For safety reasons, we do not intentionally allow cats outdoors during visits.

Outdoor access carries risks including escape, injury, environmental hazards, and difficulty locating your cat for monitoring or medication. To help ensure your cat’s safety, visits focus on secure indoor care and supervision.

If your cat has access to a fully enclosed and secure catio or similar structure, we’re happy to discuss safe use on a case-by-case basis.

How Long are your visits

We offer 30 min, 45 min, 60 min and extended visits. Visits may be adjusted to support your cat’s comfort and routine. Time is spent providing care, enrichment, and observation tailored to your pet’s needs.

Are visits scheduled at exact times?

Visits are scheduled within agreed service windows rather than exact clock times. Traffic, weather, and pet care needs may affect arrival time, and flexibility helps ensure safe, unrushed care for every pet.

Our typical visit windows include:

• Anytime (Cats & Critters only): 9 AM – 9 PM (1 visit/day)
• Morning: 7 AM – 10 AM
• Afternoon: 4 PM – 6 PM
• Evening: 7 PM – 9 PM

While we aim to remain within these windows whenever possible, occasional delays may occur due to route adjustments, pet emergencies, weather, or unexpected care needs. We appreciate client flexibility when schedules shift slightly, as this helps ensure every pet receives safe and attentive care.

Pets requiring medical treatments or stricter timing may be prioritized within scheduling windows. Clients requesting a shorter arrival timeframe (for example, a 1-hour window) may discuss availability during booking, and an additional scheduling fee may apply when feasible.

Holiday schedules may include extended working hours based on demand and caregiver availability.

How many visits per day do I need?

Many cats do well with one or two daily visits, while kittens, seniors, or medical-needs cats may benefit from additional visits. We’re happy to help recommend a schedule that supports your cat’s well-being.

My Cat is shy/hides. Can you still provide care?

Yes! This is very common. We respect each cat’s comfort level and use gentle, patient approaches to build trust. Even when a cat prefers distance, we continue to monitor food intake, litter use, and overall well-being.

If medication is required and your cat may be difficult to locate or handle, we may recommend temporarily confining them to a safe room prior to visits. This helps ensure medication can be administered safely while reducing stress for your cat and caregiver.

We’re happy to discuss strategies that support both comfort and successful care.

Can you administer medication?

Yes. With our veterinary background and animal care backgrounds, we are experienced with many forms of medication including oral, topical, and insulin administration. Please discuss your cat’s needs during booking so we can ensure appropriate care.
